Most people picture arrival day as a blur of luggage, lines and sweaty airport minutes, and while that can be the case if you skip online check in, it does not need to be your experience. When you complete everything ahead of time, your trip starts to feel different the moment you land. After you clear immigration and grab your bags, you head straight toward the Sandals lounge or meet and greet area where the staff already has your information pulled up. There is no stack of papers waiting for you and no long form to fill out while everyone else heads off to the shuttle. You simply check in with the Sandals representative, relax for a moment and then move on to the comfortable shuttle that takes you to the resort.
Once you arrive at your Sandals resort, your information is already in the system, which removes that last bit of stress from the arrival experience. Instead of standing around trying to find your passport, you walk in knowing the resort team is ready for you. If you are staying in a Club Level room, you head to the Club Sandals lounge where the staff welcomes you with cool towels and a refreshment while they finish your quick in person check in. You will want your flight details handy, and everything only takes a few minutes. The form does need to be completed at least a week before you arrive so it is fully in the system, but earlier is always better since it gives us plenty of time to smooth out anything that needs fixing.
One of the first things the form asks for is your arrival and departure flight information. This helps the resort coordinate your included transportation to the correct Sandals property. If you chose private transfers, I always pass that along so the resort knows not to expect you with the main group. A lot of people do not realize how much that one little step helps everything flow once you land.
You will also be asked to place a credit card on file. This is totally normal and simply allows you to charge any extras to your room. If you forget this step, the system will not let you finish the check in, so it is worth doing right away. A quick reminder here about debit cards. They can place a temporary hold on your funds that you may not want sitting out during vacation, so a credit card is always the easier, safer option.
Pro Tip: On your arrival day, Sandals Resorts will place a $400 charge on your card. So it is best to use a credit card, rather than a debit card. If you do not use the amount during your stay, it will drop off.
There is also a spot where you can make a small donation to the Sandals Foundation. This part is optional, but my husband and I always choose to give something since the Foundation supports so many local community projects. You can also wait until you are on resort if you prefer to donate in person. Either way, it is a wonderful cause and something we genuinely enjoy supporting.

Before you finish the form, you will have a space to share any celebrations or personal notes. If you are traveling for an anniversary, birthday or honeymoon, you can mention it there. We almost always travel during our anniversary week, and they will often acknowledge it upon arrival. It is never guaranteed since the resort has so many celebrations happening every single day, but it is a sweet touch when it happens. If having something special in your room is really important to you, this is where I usually recommend booking a Butler suite since your butler can prepare something personal before you walk in.

- Using a debit card instead of a credit card. Debit cards can place temporary holds on your funds, which can be frustrating right before vacation. A credit card avoids that problem and gives you the added protection most credit cards offer. It is the smoother and safer choice for everyone.
- Entering the wrong flight details. Sometimes guests type in their flight number or arrival time incorrectly, especially if their itinerary changes. Since the resort uses this information to prepare for your arrival, it helps to double check everything before you submit. And if your flight changes after the form is completed, just send me a quick message so I can update it for you.
- Skipping important fields. It can be easy to overlook a section when you are moving quickly, especially the part where you note celebrations or preferences. This is your chance to share anything the resort should know ahead of time, and it takes only a moment to fill in.
- Getting stuck on a slow or unresponsive page. Technology does not always behave, and sometimes the form loads slowly or freezes. Refreshing the page or switching to another device usually clears it right up. If it still looks strange, reach out and I can walk you through it.
